Terms & Conditions
These terms and conditions govern the rights and obligations between Vitamia d.o.o. (hereinafter: the provider) and the user of services or tour participant (hereinafter: the client). By making a booking, the client confirms that they have read and accepted these terms in full.
This document is a courtesy translation of the authoritative Slovenian version. In case of any discrepancy, the Slovenian text prevails.

2. Registration, booking and payment
- Registration: via the website, email or phone.
- Confirmation: the booking is valid and confirmed only once the provider has issued a written confirmation and the client has paid the service amount (or the agreed deposit).
- Payment methods: payment is possible by bank transfer (based on a proforma invoice) or by credit/debit card directly through the website.
3. Cancellation and changes by the client
The client may cancel the tour by written notice. The date on which the cancellation is received forms the basis for the refund calculation:
- More than 7 days before the tour: 100% refund (an administrative fee of up to €15 is retained).
- 3 to 6 days before the tour: the provider retains 50% of the total price.
- Less than 48 hours or no-show: the provider retains 100% of the total price.
Exception (force majeure): upon submission of an official medical certificate (no later than 3 days after cancellation), the parties agree on a replacement date. If no replacement date is possible, the provider refunds the amount paid, reduced by actual non-refundable subcontractor costs and an administrative fee (€15).
4. Cancellation and changes by the provider
The provider reserves the right to cancel or adjust the tour due to weather conditions, safety reasons, failure to reach the minimum number of participants, or other force majeure. In such a case, the client is entitled to a replacement date or a full refund of the amount paid. The provider is not liable for additional client costs (e.g. external transport, accommodation).
5. Health condition and dietary specifics
- Responsibility: the client participates in the tour at their own risk and confirms that they are physically fit to take part.
- Allergies and diets: the client must inform the provider of allergies or special dietary requirements at the time of booking. The provider accepts no liability for severe reactions or the inability to adjust a meal if it was not informed of these circumstances in good time.
6. Conduct on the tour and right to exclude
The client is obliged to follow the guide's instructions. The provider may exclude — without refund — any person who endangers safety, disturbs the group, or is under the influence of alcohol or other substances.
7. Liability and insurance
The provider is not liable for loss, damage or theft of personal belongings, nor for injuries caused by failure to follow instructions or by one's own negligence. The provider's liability is limited to the amount paid for the tour. We recommend that clients arrange their own personal accident insurance.
8. Photography and promotion
During the tour, the provider may create visual materials for promotional use on the website and social media. If the client does not wish to be included, this must be communicated to the guide before the tour begins.
9. Protection of personal data (GDPR)
Data is processed in accordance with the GDPR and Slovenian legislation (ZVOP-2) for the purpose of service delivery and invoicing.
10. Intellectual property and recording prohibition
All descriptions, itineraries and guide commentary are the intellectual property of Vitamia d.o.o. During the tour, audio or video recording of the guide is not permitted without written consent. Violations are grounds for immediate exclusion from the tour without refund.
11. Complaints and dispute resolution
Any defects or irregularities must be reported to the guide immediately on site. Identified defects are recorded on site in a written report signed by both the guide and the client. Subsequent complaints that were not documented in writing and signed by both parties on site cannot be made and will not be handled by the provider. Disputes will be settled amicably; otherwise the court in Ljubljana has jurisdiction.
12. Final provision
If any provision of these terms is invalid, this does not affect the validity of the remaining provisions.
